Granted, paper has its place, but wouldn't you love to save a few trees and a few bucks and not buy some more storage space?

From your electronic files or from paper documents, we can create electronic documents that appear the same on anyone's computer and identical to the original with free reader software.  This is just the beginning of the many advantages offered by converting documents to the Adobe Acrobat format, and Adobe's web site  will give you lots more information on the possibilities.  Here, however, are a few of our favorite applications for digital documents:

PRESENTATIONS

Instead of giving presentation attendees fat binders of slide printouts, how about giving them a diskette instead? In Acrobat format, a linear slide presentation can become a searchable reference tool. You’ll save on duplicating and supply expenses, too.

EMPLOYEE NEWSLETTERS & BENEFITS BOOKS

If all your company employees have e-mail access, why are you still printing newsletters and benefits books the traditional way? With e-mail and Acrobat, it’s possible to distribute fully-designed publications in-house without printing overhead.

ANNUAL REPORTS

In addition to the printed version, why not make an e-version for downloading from your web site? It will enhance the accessibility of information, and cut staff and mailing costs for fulfilling individual requests for reports.

DOCUMENTATION

In technical environments, all those specs and procedure manuals can become so large that they’re difficult to use and store. Instead, consider the ease of use and storage of those same documents on a server or CD-ROM.

REPORTING

When business requires consistent, routine reports on events, a form created for Acrobat can make the data easier to enter and maintain. With drop-down boxes and well-defined form fields, reporting becomes more uniform. And, rather than taking up disk space with repetitive, heavily formatted documents, the data from Acrobat forms is saved as small text file that can be easily re-imported for reuse.

ARCHIVE & DATABASE

Liberate your file cabinets and shelves by converting all that paper into searchable, compact files. Rather than trying to create or purchase more space for more files, it might make good sense to look at this electronic alternative. Here are a couple ideas:

bullet Resumes: For Human Resources departments and search firms, paper resumes can be scanned into Acrobat and processed to enable full-text searches. Because the documents maintain their graphical integrity, printouts look just like the originals.
bullet Historical project documentation: If you still need it but it’s destined for storage, a searchable version on disk has distinct advantages over a storage box located who-knows-where.
DOCUMENT SHARING
bullet Cross-Platform: Native application files transferred between platforms and PCs with different fonts often print out badly. When in Acrobat format, however, fonts are embedded and documents print out identically.
bullet E-Mail vs. Overnight Delivery: If you need to send large documents to far-flung colleagues, consider the cost savings in e-mailing a compact Acrobat version versus using an overnight delivery service. Recipients of an e-mailed Acrobat document can print out copies at their convenience that are identical to your original.
